1. Purpose of this Policy

This Policy describes how QuantumLinx carries out the processing of personal data on your websites, sales pages, registration pages, support channels and in the flows necessary for commercialization, activation, management and renewal of licenses of software.

It applies to all QuantumLinx licensed products and software, such as Koxiv, regardless of the product name, plan purchased or acquisition channel.

2. Definitions (LGPD)

For the purposes of this Policy, the concepts of Law No. 13,709/2018 (LGPD) apply, including: personal data, processing, controller, processor, and data subject.

3. What data we collect

QuantumLinx may collect the following categories of data, depending on your interaction with the website, software and service channels:

  • Registration and contact details: name, email, telephone number and other information voluntarily provided on forms.
  • Purchase and license data: order identification, plan, payment status, activation and expiration dates, renewal and service history.
  • Technical and safety data: IP, date and time of access, browser, operating system, event logs and anti-fraud mechanisms.
  • Activation data: technical identifiers of the device or environment, when necessary for limit control per machine or server, fraud prevention and license validation.
  • Support content: messages and attachments sent by the user, such as prints, logs and technical descriptions, to resolve tickets.

Importante: QuantumLinx does not request sensitive personal data, such as racial origin, religion or health data, unless the user voluntarily inserts them into support messages, which is not recommended.

4. Purposes of use

We use personal data strictly for legitimate purposes compatible with the operation of the business, such as:

  • Registration and relationship: respond to requests, send operational communications and record contact history.
  • License management: issuance, activation, validation, renewal, blocking due to violation and control of contracted plan limits.
  • Support and service: diagnose faults, guide configuration and record technical evidence necessary for problem solving.
  • Security and fraud prevention: auditing, logging, abuse detection, account protection, and licensing integrity.
  • Continuous improvement: statistical analyzes and aggregated metrics, whenever possible without direct identification.
  • Cumprimento legal: meet legal and regulatory obligations and requests from competent authorities.

5. Legal bases (LGPD)

Data processing may be based, as appropriate, on:

  • Contract execution, such as the delivery and management of the license.
  • Legitimate interest, such as security, fraud prevention and service improvement, with minimization measures.
  • Compliance with legal or regulatory obligation.
  • Consentimento, when applicable, such as non-essential communications, if any.

6. Sharing with third parties (operators)

We may share data strictly necessary with suppliers acting as operators, just to make the operation viable, for example:

  • Checkout and payment: platforms responsible for processing purchases, subscriptions, charges and refunds.
  • Infraestrutura: hosting, CDN, database, monitoring and related services.
  • Communication: sending transactional emails and operational messages.

QuantumLinx does not sell personal data. Sharing occurs only upon operational necessity, with reasonable security and confidentiality measures.

7. International transfer

Some providers may store or process data outside of Brazil. When this occurs, QuantumLinx will seek to adopt appropriate safeguards, compatible with LGPD, and use suppliers recognized in the market.

8. Cookies and similar technologies

We may use cookies and equivalent technologies to: (i) operation of the website; (ii) security; (iii) performance metrics; (iv) improving the experience.

9. Retention and disposal

We retain personal data for as long as necessary to fulfill the purposes described, legal, contractual obligations and to protect rights in the event of a dispute.

When applicable, we dispose or anonymize in a reasonable and secure manner.

We adopt technical and organizational measures to protect personal data against unauthorized access, destruction, loss, alteration, improper communication or dissemination.

Still, no system is 100% infallible. In case of a relevant incident, we will adopt mitigation and communication measures as required by the LGPD.

You may request, where applicable: confirmation of treatment, access, correction, anonymization, portability, deletion, information about sharing and revoking consent.

12. User Responsibilities

The user is responsible for keeping their data correct and for not sharing access credentials. We recommend avoiding sending third-party personal data in support requests, except when strictly necessary and with an adequate legal basis.
